Privacy Policy

Privacy policy for the Sunex Commodities website, GDPR-aware, covering data collected through forms, enquiries and cookies.

This Privacy Policy explains how Sunex Commodities ("we", "us") collects, uses and protects personal data when you visit our website or contact us. It is written to be GDPR-aware and to be understandable, not buried.

Who we are

Sunex Commodities is a cocoa and coffee trading company with offices in Cameroon and Spain. We are the data controller for personal data collected through this website.

What data we collect

We collect only what is necessary to respond to your enquiry and to trade with you:

  • Contact form data: your name, company, email, phone, commodity of interest, role, and your message.
  • Quote and supplier data: volume, origin, destination, Incoterm, timing, and any details you provide about your business.
  • Technical data: IP address, browser type, pages visited, collected via cookies and server logs (see our Cookie Notice).

We do not collect special-category data through this website. If you send it to us by email, we will treat it with care and not use it beyond the purpose you sent it for.

Why we use your data

  • To respond to your enquiry and to prepare quotes, contracts and shipments.
  • To carry out KYC and counterparty checks where you propose to trade with us.
  • To meet legal, regulatory and compliance obligations, including EUDR and AML.
  • To maintain records of trade correspondence for the periods the law requires.

We do not sell your personal data. We do not use it for unrelated marketing without your consent.

We rely on:

  • Contract: where you contact us to trade, we process your data to take steps before a contract and to perform it.
  • Legal obligation: for KYC, AML, EUDR and record-keeping.
  • Legitimate interests: to respond to enquiries and protect our business against fraud.
  • Consent: for any optional marketing or non-essential cookies.

Who we share data with

We share data only where necessary:

  • Our own staff at the relevant desk.
  • Third parties we work with to trade (surveyors, carriers, banks, insurers) where needed for a shipment.
  • Authorities where the law requires it.

We do not share contact-form data with marketing providers.

International transfers

Your data may be processed in Cameroon, Spain and the EU, and by providers located outside the EU. Where we transfer data outside the EU, we use appropriate safeguards (standard contractual clauses or equivalent).

How long we keep data

  • Trade correspondence: for the period required by law and contract (commonly 5–10 years for compliance records).
  • Enquiry data where no trade results: retained for a reasonable period to respond, then deleted or anonymised.

Your rights

Under the GDPR you have the right to:

  • Access, correct, or delete your personal data.
  • Restrict or object to processing.
  • Data portability.
  • Withdraw consent (where we rely on it).
  • Lodge a complaint with your data protection authority.
